Position Summary:

The Customer Service Coordinator represents our company through dispatching service and preventive maintenance (PMs) calls to customers. This position ensures that all estimated time arrivals are met and services comply with customer requests. This position also requires support of the company Technicians performing the service call.

Priority will be place on updating customers on status of service requests or any changes to scheduled service calls. This will be done via telephone or email. This position will oversee multiple West Coast locations and support approximately thirty-five (35) Technicians. Other duties include but are not limited to:

  • Receive incoming service calls and requests from customers.
  • Create/maintain schedule and dispatch all service calls for the assigned locations and ensure all deadlines and schedules are met.
  • Transmit all received and processed paperwork daily.
  • Update all customers daily on the status of any service request – from receipt to completion. Provide excellent communication in order to ensure complete customer satisfaction.
  • Daily communication with Technicians and vendors as required.
  • Order parts for customers and/or service calls from vendors. Follow up on parts orders and coordinate follow up service calls to coincide with arrival of parts.
  • Effectively communicate with Management on critical customer issues and requests.
  • Maintain accurate database of service call records.

Requirements:

  • High School Diploma or GED.
  • Two (2) years of experience as a customer service representative/dispatcher.
  • Professional in appearance and attitude.
  • Technical aptitude.
  • Geographical knowledge of Western United States.
  • Proven customer service experience and skills in high volume, high pressure environment.
  • Ability to multitask.
  • Excellent phone skills and etiquette.
  • Attention to detail and commitment to accuracy.
  • Computer literate, experience with SAGE MAS 90 or 200 a plus.
  • Strong teamwork and problem solving skills. Must be able to make good decisions take initiative in customer’s best interest without direction of others.
  • Effective verbal and written communication skills; active listening skills.
  • Establish and maintain harmonious working relationships with co-workers at all levels.
  • Understanding of importance of both internal and external customer and relation to success of company.
  • Must have excellent attendance and punctuality.
